BELIX EVENTS – TERMS & CONDITIONS
PART 1: GENERAL RENTAL TERMS (APPLIES TO ALL ITEMS)
These terms and conditions govern all rental agreements made between the Customer (Renter) and Belix Events (“The Company”). By confirming a booking, the Customer agrees to these terms.

- Pricing, Deposits, and Payment
- Rental Period: Standard rental fees cover a one (1) day event use. Pickup may be allowed one (1) day prior to the event, and return is expected on the evening of the event or at latest, the next morning, as agreed upon in the invoice.
- Refundable Deposit (Caution): A mandatory refundable deposit, typically £25 to £50 per item/set, is required for most rental items. This caution is fully refunded once the item(s) are returned or collected in the exact same condition as received.
- Final Payment: All rental fees must be paid in full to secure the booking.
- Damage, Loss, and Fees
- Customer Responsibility: The Customer assumes full responsibility for the items from the time of pickup/delivery until the time of return/collection.
- Damage/Loss Assessment: If any item is lost, stolen, or damaged beyond normal wear and tear, the Customer will lose part or all of their caution. The Customer is liable for the full replacement cost of the item(s) if the damage/loss exceeds the caution amount.
- Late Return: All items must be returned on the agreed return date. For items returned late, an extra charge of £50 is charged per day after the agreed return day until the item is returned.
- Delivery, Collection, and Pickup
- Delivery Cost: Delivery cost is charged according to the postcode and is the responsibility of the Customer.
- Parking: If free parking is unavailable within walking distance to the venue, the Customer will be charged for any money spent on parking fees.
- Customer Pickup: All items are picked up and returned to the Company’s venue at 4 Berberis Walk, West Drayton UB7 7TZ.
- Inspection: The Customer or their representative must inspect all items upon pickup or delivery and notify The Company of any damage or discrepancy before the event commences. Failure to do so waives the right to seek refunds or credits for such issues.
PART 2: SPECIFIC PRODUCT TERMS
- Catering & Serving Equipment
(Includes: All Buffet Stoves (Gold, Silver, Stainless Steel, Window, White), Buffet Plates, Juice Buckets, Drink Dispensers)
- Cleaning Requirement: All Catering & Serving Equipment must be returned empty, scraped, rinsed clean, and dry, free from any food debris, grease, or sticky residue.
- Cleaning Fee: If equipment is returned dirty, the Customer will forfeit the security deposit, and an additional cleaning fee of £50 per piece may be charged at the discretion of The Company to cover specialized cleaning and lost rental time.
- Fuel: Customers are responsible for providing their own chafing dish fuel (e.g., Sterno).
- Improper Use: Equipment must only be used for its intended purpose (e.g., Buffet Stoves for heating food). Do not submerge electrical components or use abrasive cleaning tools.
- Floral Arrangements & Runners
(Includes: All Flower Runners, Centerpieces, 3-Head Rose Flowers, etc.)
- Handling: Rental flowers are artificial/silk and must be handled with extreme care to prevent creasing, crushing, or detachment of petals/foliage.
- No Alterations: The Customer is strictly prohibited from disassembling, cutting, gluing, or making any permanent modifications to the floral arrangements or runners.
- Outdoor Use: While some florals can be used outdoors, the Customer assumes all risk of damage due to weather conditions (rain, strong wind, excessive sun exposure) or staining (mud, grass). Damage caused by outdoor exposure will be subject to replacement fees.
- Wax/Staining: Care must be taken to keep the floral arrangements and runners away from open flames, dripping candles, or excessive moisture. Permanent stains (e.g., wine, wax) will result in a cleaning/replacement fee equal to the item’s full replacement cost.
- Display Stands, Decor, & Carpets
(Includes: Dessert Display Stands, Welcome Columns, Background Boards, Balloon Boxes, Geometric Walkways, Metal Stands, Red/White Carpets)
- Placement: Red and White Carpets must be used on clean, smooth surfaces and protected from excessive dirt or mud. A cleaning fee will be charged for returns with excessive staining or damage (e.g., tears, burns) beyond light wear.
- Weight Limits: Display stands and geometric structures have weight limits. The Customer must not overload stands. Damage resulting from exceeding weight limits is the Customer’s financial responsibility.
- Protection: Items must not be placed on uneven surfaces or left exposed to weather. Background Boards and Welcome Columns must be disassembled and packed carefully for return.
- No Affixing: Nothing is to be affixed to the metal or PVC stands using strong adhesives, screws, or permanent markers. Any residue or damage from prohibited affixing methods will result in a restoration fee.
